Privacy Policy

How we collect, use and protect your personal data.

What we collect

  • Applicants: name, email address, phone number, gender, date of birth, programme choice, entry mode, previous qualifications, the documents you upload with your application (such as a passport photograph and result slips, which only you and the admissions office can open; if you are admitted, your passport photograph becomes your student ID photo), and whether the application fee has been paid.
  • Students: name, matriculation number, email address, phone number, programme, level, entry session, a photo taken by the school for your ID card, course registrations, assessment and examination results, fee payments and balances, transcript and deferral requests, industrial attachment records (your placement, your company supervisor's name and contact details that you give us, your weekly logbook, their assessment and your marks), and any carryover or disciplinary records. A company supervisor you name receives a private link that shows only your name, programme, placement dates and the logbook weeks you send.
  • Staff: name, staff number, email address, phone number, department, position, portal role, a photo for the staff ID card, and payroll information.
  • Payments: the reference, amount, purpose and outcome of each payment. Card and bank details are entered only on our payment processor's own page and never reach our systems.
  • Security records: IP address, browser type, sign-in times, failed sign-in attempts, and a record of the actions staff take in the portal — including each time a staff member looks up a student or staff record.
  • Enquiries: the contact form and website chat open your own email app, so your message reaches us as an ordinary email. The WhatsApp buttons open WhatsApp, which is run by Meta under its own privacy policy.

How we use it

We use your data to: process admission applications and enrolment; run your student or staff portal account (including sending account-activation codes by email); keep academic records such as course registrations, results and transcripts; process fee payments and keep a record of them; issue ID cards and let authorised staff confirm a student's or staff member's identity, for example at an examination; reply to enquiries; and keep our systems secure (for example, blocking repeated failed sign-in attempts and keeping an audit record of staff actions).

The QR code on an ID card links to a page that only staff with the right permission can use. Anyone else who scans it sees that it is a Lens Polytechnic ID card and nothing about the holder.

Who handles it

We do not sell personal data. Some organisations handle it on our behalf or when you use their service:

  • Payment processors (Interswitch and Paystack) process the payments you choose to make.
  • Our technology partner hosts and runs the portal for the school, and handles data only on the school's instructions.
  • An email delivery service sends account-activation codes and other portal emails.
  • Regulators: academic and admission records may be shared with the National Board for Technical Education (NBTE) or other authorities where the law requires it.

Some of these services may process data outside Nigeria.

Cookies and your device

We use a cookie to keep you signed in to the portal. Your browser also remembers your cookie-notice choice on your own device. We do not use advertising or tracking cookies. You can clear these through your browser settings.

Your rights

Under the Nigeria Data Protection Act 2023 you may ask to see the personal data we hold about you, have it corrected or deleted, restrict or object to how it is used, receive a copy in a portable form, and withdraw consent where we rely on your consent. Some academic and financial records must be kept as required by law and NBTE regulation. Contact info@lenspolytechnic.edu.ng to make a request. You may also complain to the Nigeria Data Protection Commission (NDPC).

Data security

Passwords are never stored in plain text. Sign-in sessions are protected, staff can only open the parts of the portal their role allows, every staff action is recorded, and payment card details are never handled or stored by our own systems.
